Terms and conditions regarding travel

Visit Dovre AS’ terms and conditions are based on the ‘Act relating to package travel and travel guarantees (The Package Travel Act)’ of 15 June 2018 No. 32 and ‘General Terms and Conditions for Package Travel’ of 01.07.2018 (prepared by Virke Reise Utland and the Norwegian Consumer Authority). The said legislation/terms and conditions are subject to change.
The easiest way to book a trip is via our website or by email/calling our office. When booking, you will receive confirmation and an invoice with 1 payment:
  1. Deposit, 10% of total amount, due within 14 days
  2. Final amount must be paid no later than 30 days before departure. See due date on invoice.
The booking is binding once the deposit has been paid. Failure to pay a deposit is not considered a cancellation. Cancellations must be made in writing or by speaking to us directly. When bookings are made less than 30 days before departure, the booking is binding from the time of booking and the full amount is invoiced with immediate due date. The traveling party must always check that the invoice and travel document received are in accordance with the booking. If errors are detected, Visit Dovre AS must be contacted immediately.
In the event of significant changes to the booking, Visit Dovre AS may stipulate a change fee of up to NOK 500 per booking for accrued working hours.
Cancellations must be made as soon as there is a reason not to carry out the journey/trip. Cancellation will incur a fee, depending on the time of cancellation, which is calculated from the date Visit Dovre AS receives the message. Cancellation date must be during office opening hours, Monday to Friday between 08:00 – 16:00. Mail sent on Saturdays/Sundays/public holidays is dated to the next following Monday/working day. For cancellation of travel, the following rules apply:
  1. In the event of cancellation up to 30 days before departure, Visit Dovre AS retains the deposit paid.
  2. In the event of cancellation later than 30 days before departure, for other trips, or if the traveling party does not show up for the start of the trip, the customer will be charged the full amount (100%).
We recommend all traveling parties to have travel/cancellation insurance in relation to illness that may prevent one from carrying out the trip. Check with your insurance company if you already have valid cancellation insurance.
The traveling party is responsible for checking that the invoice/travel documents received are correct regarding name and booking. The traveling party must meet the payment deadlines. The traveling party must comply with rules issued by public authorities and our representatives, and must not be a nuisance to others. In the event of improper conduct, the traveling party may be denied further travel/participation on a trip and must bear the costs of returning home themselves.
The traveling party must take the necessary precautions before and during the trip. This includes ensuring that one has adequate travel insurance, sufficient funds for travel and accommodation, etc. We recommend that separate travel insurance is arranged that covers illness, repatriation/return home (in the event of illness/injury), theft, accidents, loss of baggage, etc. All travel without proper insurance is undertaken at one’s own risk. Terms and conditions vary at different insurance companies – check the terms and conditions at your insurance company.
The traveling party is responsible for ensuring that their state of health is such that they themselves or fellow travelers are not put at risk. Persons with specific illnesses, allergies or other conditions we should know about are asked to provide information about this as soon as possible. If the traveling party has any food allergies, such as coeliac disease, lactose intolerance etc, we will communicate this to the restaurants and hotels used on the journey/trip. It is therefore important that we are notified well in advance. However… food is part of the experience. Please note that some destinations are located far from shops and suppliers. This means that they might have trouble obtaining special ingredients. Therefore, they are not able to facilitate all kinds of special diets.
The prices include the services mentioned during each trip – specified in the invoice. We reserve the right to make price changes regarding unforeseen transport costs and changes in public taxes/fees. Price changes cannot occur later than 30 days before departure. We reserve the right to make minor adjustments to the day-to-day program. For guided tours, changes may be made to the program on an ongoing basis due to delays, weather conditions, illness or other unforeseen events during the journey/trip. If circumstances occur over which Visit Dovre AS has no control (Force Majeure), such as natural disasters, conflicts or conditions at the destination/travel route where carrying out the trip would involve too much risk, the trip may be cancelled at short notice without the traveling party receiving a refund.
In general, Visit Dovre AS is not liable for any injuries, loss or accidents of any kind to a person or goods (including financial loss and consequential damages) that occur in connection with or as a result of the customer’s booking, travel/trip or being organized through Visit Dovre AS, unless this is due to the intention or gross negligence of Visit Dovre AS.
If you are of the opinion that there are faults/shortcomings associated with your trip, you must inform the tour manager/office immediately: Visit Dovre AS, +47 45 45 66 33 If the fault/shortcoming is not corrected and you wish to complain about the trip when you return home, a written, substantiated complaint must be sent to Visit Dovre AS no later than one month after the trip has ended.
